We are pleased to announce the availability of a dedicated Quiet Room at FMRIB. This will be available to anyone, student, staff or visitor, who needs a private space for a short period during the working day.  

The Tracey room in the FMRIB Annexe will be used as a Quiet Room starting 10 March 2025. After 3 months we will send out an anonymous survey to gain insight into demand and usefulness of the space. We are aware that having fewer rooms available for meetings may create issues, and we welcome your feedback on this point too.

Room Features  

  • blinds and lockable door for privacy  

  • room/floor space for prayer, stretching etc.  

  • sofa for relaxing


Examples of uses for the Quiet Room

  • prayer or meditation 

  • re-centring after a difficult or tiring meeting 

  • taking a moment of rest from a busy day or a noisy office 

  • breastfeeding or pumping (there is a storage box for milk in the fridge in the Annexe kitchen on the first floor) 

  • dealing with minor self-administered medication for a medical condition

To maximise the availability of this room for its intended use, we kindly ask that a regular meeting room is used for work meetings whenever possible. In addition to the existing Cowey, Newsom-Davis and Radda rooms, you are welcome to use Irene Tracey’s old office (Annexe first floor in the right-hand corner by the stairs) for meetings or calls. It does not have a Teams set-up. The PI offices at the top floor of the FMRIB building can also be used when empty. Feel free to email admin@win.ox.ac.uk if you cannot find a suitable space.

 

How to book the Quiet Room 

You do not need to book the Quiet Room in advance, but you are welcome to do so if you know that you will want to use it in advance or at a recurring basis. You can make a booking via Calpendo. The Quiet Room calendar can be found under Calendars > FMRIB > Quiet Room. If you cannot log into Calpendo, please email admin@win.ox.ac.uk and we will help you with your booking.   

 

How to use the Quiet Room 

  • The Quiet Room is the Tracey Room, which is on the ground floor of the FMRIB Annexe, between the two open plan office areas. As you come into the front door from the lobby, go straight ahead, and the room is the first door on your right. It has a glass wall with wood-coloured blinds.

  • If you have not booked the room on Calpendo, please check if someone else has booked it.  

  • Please move the sign on the door to ‘occupied’ as you enter. You are welcome to lock the door from the inside to avoid unexpected disturbances.

  • After you are finished using the Quiet Room, please make a note of the time that you have used the room on the sheet on the inside of the door. This will help us gain insight into the degree and time patterns of demand for a Quiet Room during this trial period. You do not need to give any information on your use of the space, but you can if you wish. 

  • Please remember to switch the door sign to ‘free’ when you leave.

Quiet Room at OHBA

At OHBA, you can use the Psychiatry Quiet Room, located in the Wellcome Building, Room 6, Ground Floor. You need to request access to this room beforehand by e-mailing Reception at reception@psych.ox.ac.uk or the Head of Department Office at hod@psych.ox.ac.uk. You do not need to provide any details or the reasons why you would like access in your e-mail, please do feel welcome to just ask. They will send you a SharePoint page, which will show a monthly calendar view of the availability of the Quiet Room. Click the ‘+New’ button in the top left-hand corner of the screen, and fill in the requested details to book a date and time. They will also send you an e-mail confirming the confidential passcode for the keysafe holder attached to the front of the door of the Quiet Room.

  • The Health Assured programme of staff benefits including counselling, legal advice and financial support 

  • Anyone witnessing or being subjected to harassment can contact their Department’s harassment advisors (NDCN, Psychiatry). Speaking to harassment advisors does not make complaints formal by default, their aim is to provide advice and guidance and to empower individuals about making a decision on a complaint.
