Hosting grants and fellowships at WIN

Please note that the following guidance is for WIN researchers only

All grant and fellowship applications need to be logged with WIN, and in some cases, need WIN approval prior to submission. Please use the WIN fellowship and grant application forms found under the definitions of fellowships below. Please note these forms are specific to the level of fellowship so please use the appropriate form. Some fellowships have very broad criteria, and depending on the stage of the individual and the scope of the project, could be classed as an early career or intermediate fellowships. Why does WIN need to be informed?

WIN needs to be informed about all applications to make sure we are able to host the proposed work (e.g provide required scan time or technical support) and to provide any additional material you might need (e.g. letters of support)

When is WIN approval needed?

Approval is needed for any fellowship and for any grant that would pay new staff who will be based at a WIN site. This is because our space and resources are limited. 

How do I apply for approval?

When WIN approval is needed, please submit approval forms to WIN well ahead of any deadlines, preferably at least a month (ideally more). You will receive feedback on your proposed application so the earlier you apply the more time you will have to make use of that feedback.  Please email admin@win.ox.ac.uk with your application form, CV, and summary of your fellowship to arrange this review.

If any letters of support are needed, please indicate this at the time of WIN form submission.

WIN approval does not replace department approval, and the relevant department process must also be followed. Please contact your department research award team for more information on this process, including timelines.

How is approval decided?

In deciding whether or not to support an application we consider:

• The strength of the applicant and proposal
• The strategic fit of the proposal for WIN
• Current and future space requirements

For fellowships, the degree of scrutiny depends on the level of fellowship (see definitions below). Early career fellowships are typically considered by a relevant subset of the management board local to the proposed host site. Intermediate and senior fellowships are considered by the whole management board and thought is given not only to the above criteria but also to the question of whether the proposed fellow shows strong potential to be able to establish and maintain their own independent research group at WIN for the fellowship period and beyond.

Early Career Fellowships

These fellowships typically provide the fellow's salary and some research expenses but do not support other staff. Fellows typically hold their fellowship within another PI's group. Most applicants will be in their first post-doc position or might be finishing a PhD.

Intermediate Funding

These fellowships are for experienced postdoctoral researchers to establish their own research groups. Typically, these fellowships provide fellow salary, research expenses, and funds for staff to be line managed by the fellow. Most applicants will be experienced postdocs or early career fellows.

Senior Funding

These fellowships are for experienced PIs who are leading their own advanced research programme. They typically provide funds for fellow's salary, research expenses and researc​h staff. Most applicants will be senior researchers who are already running their own research groups.
